Privacy policy

01The short version

We collect what is needed to run your workspace: your account details, the deals and clients you enter, the documents you upload and the messages you send in the app. We do not sell your data, we do not run advertising trackers, and only you (and the clients you invite) can see your workspace.

02What we collect

• Account details — your name, email address and password (stored only in hashed form by our authentication provider).
• Profile details you add — phone, brokerage, license number and anything else you choose to fill in.
• Workspace content — deals, properties, clients, contacts, timeline steps, showings, tasks, notes and documents you upload.
• Client portal activity — messages, document views and showing approvals made by the clients you invite.
• Billing records — the plan, amount, date and receipt for each subscription charge. Card details are handled by our payment provider and never reach us.
• Technical data — device, browser and approximate location derived from your IP address, plus error logs used to keep the app working.

03Your clients' information

When you add a client, you are the one deciding what is collected and why; we store and process it on your instruction as part of providing the service. You need their permission to enter their details and to invite them to a portal. A client can ask you to correct or remove their information, and you can do that from the app at any time.

04How we use it

• to run the app — store your records, generate drafts and display your client's portal;
• to process payments and keep billing records;
• to keep the service secure — detect abuse, investigate errors and prevent unauthorized access;
• to reply when you ask for help.

05What we never do

We do not sell your data or your clients' data. We do not use your workspace content to train third-party AI models. We do not add advertising trackers or sell audience segments to brokers or lead vendors.

06Who we share it with

Only the providers needed to run the app, each limited to what their job requires: hosting and database storage, our AI provider for the drafting features, our email delivery service, and our payment provider for subscription billing. They act on our instructions and are bound by confidentiality obligations.

We may also disclose information where the law requires it, or to protect the rights and safety of users. If the business is ever transferred, your data would move with it under the same promises.

07Where it lives and how it is protected

Data is stored on cloud infrastructure in the United States. Traffic is encrypted in transit, and access to your workspace is restricted to your account at the database level — another agent signed into Keyhouse Studio cannot read your records. Uploaded documents are held in private storage and opened through links that expire.

No service can promise perfect security. Use a strong, unique password, and tell us immediately if you suspect your account has been accessed.

08How long we keep it

Workspace content stays while your account is active. Delete a deal, document or client and it is removed from your workspace; residual copies in encrypted backups are overwritten on a rolling basis within about 90 days.

If you close your account, we delete your workspace content within 30 days, except records we must keep for tax, accounting or legal reasons.

09Your choices and rights

• See and correct your profile details from your account page at any time.
• Export or delete deals, clients, documents and messages directly in the app.
• Ask us for a copy of the personal data tied to your account, or ask us to delete the account entirely.
• Where local law gives you additional rights (for example under the CCPA or GDPR), we honor those requests as well; we will not treat you differently for making one.

10Cookies and local storage

We use a small amount of browser storage to keep you signed in and remember simple interface choices. No advertising or cross-site tracking cookies are set by the app.

11Children

Keyhouse Studio is a tool for working professionals and is not intended for anyone under 18.

12Changes to this policy

If the way we handle data changes materially, we will update this page and email you before the change takes effect. The date at the top always shows the current version.
